Account An account is a personal account of an individual.
Tenant A tenant is the overall entity which is used to organize applications and subscriptions for an organization. Individuals can have roles in one or more tenants.
Subscription A subscription belongs to a tenant and is necessary to run an application on a capacity.
  • Free Plan: data1.io can be used with 1 application up to 20 users for free; the tenant can only have 1 application.

  • Enterprise Plan: enables the combination of several applications within the same tenant and/or the use with > 20 users per application.

Capacity A capacity belongs to a subscription and is the cloud hardware that is necessary to run an application. 
  • Shared capacity: several Free Plan tenants share the same physical database.

  • Dedicated capacity: a tenant has its own physical database in the cloud service which enables increased security settings and individual settings for the hardware capacaties and performance.
Application An application is running on a (shared or dedicated) capacity and is used to organize the (on-time or revolving) collection of data for a specific usecase in an organization. 
The datamodel of the application consists of fact table(s) and dimension tables.
Each data1.io showcase consists of an application and a template.

Fact Table A fact table belongs to the datamodel of an application and is used to store the data collected with the Excel Templates (using the write function). 
Dimension Table A dimension table belongs to the datamodel of an application and is used to define structures which are used in the dimension tree in the Excel Web Add-In as well as in reports to show aggregates. 
Dimension Tree A dimension tree is generated from a dimension table and is used in the data1.io Excel Add-In to navigate through the data structures of an application.

Collection Workflow

A collection workflow belongs to an application and is a defined time period in which a defined number of users are allowed to (and should) enter their data into the application. Every single collector user gets reminder e-mails as long as the individual data entry status is not changed from "open" to "finished". A collection workflow is defined and managed by the collection manager and his/her deputy.

There are two types of collections:

  • One-time collection: a workflow that has a defined start and end date; typically used for monthly forecasts, annual budgets, etc.

  • Revolving collection: a workflow that runs "endless"; typically used for daily and weekly collections.

Template A template is an MS Excel file that is allocated to an application and which contains one or more sheets with the so-called data1.io framework definitions. The Excel spreadsheet can be configured as template for the Web Client or as template for the Excel Client.

Templates can be used in two major ways:
  • Collection template: an Excel file that is used for data collection ("WRITE") and aggregation of the collected data ("READ").

  • Report template: an Excel file that is used only for reporting and not for data collection ("READ Only"). 
Each data1.io showcase consists of a template and an application.

User A user is an individual with a data1.io account which enables access to one or more applications and therefore can be part of a data collection process. Every user has access to the data1.io public showcases.
Roles

A user can have one of the following four roles (= permissions) in data1.io.

End Users:

  • Collector USER: a user who has access to a pre-defined application in order to enter data ("collector") and/or consume reports ("viewer"). The access within the application can be restricted to parts of a dimension ("row-level-security") and can be organized with a collection workflow.

Power Users:

  • Collection MANAGER: a user who has the right to organize and is responsible for a specific data collection process within an application.

  • Application OWNER: a user who has the right to create, configure, maintain and delete an application.

  • Tenant ADMIN: a user who has the right to acquire a subscription (FREE oder ENTERPRISE) and maintain the organization's master data and all its assets in data1.io.

Datafeed

A datafeed is a web-based interface in the so-called ODATA-Format in order to use the collected data of your application(s) in other (cloud-based) systems like MS Power BI.
